TERMS AND CONDITIONS FOR BOOKING
OUR APARTMENTS
If you are ready to reserve an apartment, please review the following
terms and conditions, and if acceptable, kindly use our
SECURED
ONLINE RESERVATION FORM to make your
booking.
Rent Information:
Apartment rates are always quoted in U.S. dollars and are subject to
change in the case of currency fluctuation (Sterling Pound for London,
Euro for all other cities) or changes in tariff. The credit card
issuing bank may also impose a surcharge of up to 4%. Service
charges, taxes and all other additional charges by the apartment, are normally included in
the rates however some may have additional utility charges which are specified in the
property’s description and on your confirmation form.
Booking Procedures:
All apartments have different policies and most information can be found
on the apartment listing on our website, as well as on the confirmation
which will be forwarded to you. Be sure to read all restrictions
associated with the property before booking that particular
apartment. Once payment has been made with your credit card, it is considered a firm booking.
Deposit Requirements:
All apartments have different deposit requirements, and details can be found
on the apartment listing on our website. Deposits and prepayments must be received by
the date indicated or accommodations will be automatically released. In
addition to these payments, it is normal procedure to leave an imprint of
your credit card as deposit against breakage, telephone charges and
miscellaneous incidentals.
Final Payment:
The remaining cost of the rental (total less deposit) will be requested up
to six weeks prior to arrival, depending on the property. If you are
making your initial reservation request within those dates, the entire
amount of the rental may be placed on the credit card
at the initial time of booking.
Arrival/Departure Times:
Unless provisions have been made for pre-registration at additional
expense, normal check-in hours are usually between 1:00 and 3:00 P.M.; the
exact time is noted on your property description. In most cases, the
property will allow you to leave your luggage until accommodation is
available. Check-out time is normally 10:00 A.M. unless otherwise
indicated on the property description sheet or unless alternate
arrangements have been made with the property.
Key Collection:
Key collection varies from apartment to apartment. Regent Suites can
usually arrange for a car to pick you up from the airport and in most cases the driver would then have the keys to your apartment. It is important that we have your flight arrival details so we know where to either send the car or how to arrange the key collection if you do not have a car picking you up.
Some of our apartments have reception where you may collect the keys.
Quite often the keys will be with the apartment manager who will need your flight arrival times in order to arrange to meet you.
Dissatisfaction with Accommodations:
It is extremely important to give all your travel requirements to Regent
Suites BEFORE making actual reservations - to ensure that you receive
exactly what you want. Please note that guests who book an economy
apartment cannot realistically expect a superior grade apartment. Be sure to ask
all questions regarding amenities BEFORE booking your reservation.
However, if you arrive at your accommodations and find that the apartment
is not as it was represented (for example, it is a Studio and not the
One-Bedroom you reserved, or it lacks electricity, heat or any other
promised service), call the local contact (concierge, management staff, or
office) and they will do all possible to get you moved to another
apartment in the building, or have the problem remedied immediately. If
this does not yield satisfactory results, contact Regent Suites immediately.
In outstanding circumstances, if we cannot fix the problem to your
satisfaction in the accommodation booked, we will move you to another
apartment ASAP or provide a full refund. Please remember
that we cannot do anything unless we are alerted to a problem. Guests
who complete a stay at an apartment that lacked necessary services without
notifying management cannot expect a refund after the fact—especially
since we most likely could have fixed the problem early in the clients’
stay.
Amendment:
Though it is unlikely that any changes to confirmed
arrangements will be made, it does rarely happen and we will advise you at
the earliest possible date. If we are unable to provide you with the
apartment you have booked, we may transfer you to a similar
or nicer apartment at no additional cost. However, if this is not possible or you do not wish to be transferred, we will cancel the booking and refund the amount paid in full.
Cancellations/No
Shows:
If you need to cancel, contact our office directly and we will cancel the
reservation on your behalf. All fees and restrictions associated with the
individual property apply. We strongly suggest that all travelers take out
Trip Cancellation Insurance to protect their investment, which generally
runs 4 to 6 % of the cost of the rental. More details can be found
